DIGITAL HR ONBOARDING AND OFFBOARDING FOR ROSSMANN
FROM PAPER TO PRECISION
The client has an extensive nationwide chain of stores with more than 2000 employees where the process of hiring new employees is lengthy and used to be paperintensive. They faced challenges with the centralization of documents filled out on-site, their registration into the central HR system, and the quantity of new documents generated during onboarding, resulting in a cumbersome process that could only be replaced with a modern solution. In addition to hiring, the issue of offboarding and mass changes in the employment contracts of store employees also awaited a digital solution for more efficient, faster, and transparent process management.
ITINER DIGITAL’S SOLUTION
Our collaboration began with a comprehensive survey, involving the client in precisely defining the problem, identifying the relevant professional areas, examining the available technological background, and compiling a proposal. The initial version of the proposal followed the principle of gradualism, but the client strongly requested a comprehensive digital solution as soon as possible. We were pleased to see the client’s commitment, and it’s always important feedback for us during every collaboration when the other party believes in our digital solutions as much as we do.
One of the most significant challenges was legal issues because sensitive data handling was involved in the process, and it was crucial to ensure this was done in the most secure manner both from an IT and legal perspective. While the two main methods for creating digital signatures are qualified and biometric, both would require the involvement of a third-party software. At the suggestion of lawyers, we proceeded with the principle of four-eye review. With this approval method, both the store manager and regional manager approve the authenticity of the documents related to the new employee’s entry with their signatures.
The Itiner No-Code Platform is used by store managers and regional managers in the front office, and employees in the HR department at the client’s headquarters on the back office side. We seamlessly integrated Itiner Platform into the client’s HR processes using third party payroll software (Nexon), which resulted in smooth, fast, and efficient organization of the processes from various locations and from the headquarters. As a result, all documents prepared during the onboarding process on-site are recorded in just 20-25 minutes, the collection of these documents is transmitted to a database, and the Nexon is updated every 5 minutes with the latest data. Thus, the process is transparent in all directions and easily traceable for everyone, immediately and effortlessly, and completely digital, with not a single piece of paper being issued in the meantime.
MEASURING SUCCESS – ROSSMANN’S HR TRANSFORMATION
Following the deployment, we received feedback that our solution is “loved by everyone!” Due to the use of the product, the onboarding process now takes an average of 20 minutes, compared to the days previously experienced. Nexon is updated every 5 minutes. Every HR employee can access all necessary information immediately and in one place.
